Washroom services cost: what sets the price per unit
Updated
Two washroom quotes for the same building can be a long way apart and both be honest, because they are counting different things.
The unit is the pricing unit
Almost every washroom contract in the UK is priced per unit per service. A unit is a sanitary bin, a nappy bin, an air care dispenser or similar. That means the total is unit count multiplied by frequency, and both are negotiable inputs rather than facts about your building.
Before comparing anything, get a unit schedule: how many units, of what type, in which washroom. Providers can and do quote different unit counts for the same site, and a quote that looks cheaper on the headline is sometimes just lighter on units.
Frequency should follow usage
Service intervals are typically sold as fortnightly, four-weekly or eight-weekly. A quiet warehouse with three staff on a shift and a busy 200-person office do not need the same interval. Ask what interval the price assumes, and whether you can move it mid-term without a variation charge. This is the single fastest lever on annual cost, and the one most likely to have been set by a default rather than by your building.
What is inside the price and what is not
| Line | The question |
|---|---|
| Units | How many, of what type, in which washroom? Attach the schedule to the contract. |
| Frequency | What interval is priced, and what does a change cost? |
| Consumables | Which are included, at what assumed usage, and what is the unit price outside that? |
| Equipment | Owned or rented? Who maintains it, and what is the response time on a failure? |
| Term | Initial term, rollover term, and the exact notice window in writing. |
| Price review | Capped or uncapped? Show me year two and year three on this site. |
| Waste paperwork | Carrier registration number, and how transfer notes reach me. |
| Exit | What does removal of equipment cost at the end? |
Why we do not publish a price per unit
Because the number would be misleading. Unit price moves with volume, site count, geography, service frequency, contract term and how much consumable spend sits inside the contract, and it is quoted as part of a bundle rather than as a rate card. A single national figure would be wrong for most readers and would be quoted back at providers who never offered it. Get quotes for your actual site, from more than one provider, on the same unit schedule.
If you are already in contract, check the notice window before you start collecting quotes. Getting the timing wrong is what turns a saving into another full term at the old price.
